This learning contract (LC) between Athena Tutoring Services and you, the client, outlines our professional relationship and the terms and conditions of our contractual agreement.

Costs

Session by session £30 per 55-minute teaching and learning session, Over and above this, parental feedback will be supplied either via email or WhatsApp. Also, inter-sessional resources are offered either complete with answers or which can be emailed back as soon as completed so that we can explore strengths and next steps at the onset of the subsequent session. Sessions subject to tutor availability and negotiated weekly.

Payments

This must always be made the day before the session takes place, but can happen well in advance – please see above.

After initial discussion, a BACS reference will be emailed to you. Please use this together with your student’s initials. Full guidance will be given once needs, learning programmes and timings have been agreed

Any cancellations within 24 hours of the agreed session will be charged in full.

If you have not paid twenty – four hours in advance of each session, it simply will not happen and your slot on our timetabled schedule will be instantly reallocated.

If a tutor cannot attend a tutorial, equally they must give twenty-four hours’ notice and ideally agree an alternative.

However, in cases of genuine emergency, please just let me know and we can talk, rearrange and move forward. This also applies to tutors.

Technical issues

If at the tutor’s side, there is a technical fault either a full or partial refund will be given and/or you can reschedule.

If the fault is at your end, we will try to re-accommodate. However, the lesson is not automatically refundable and you will be charged.

Refunds, Academic Progress and Liability

The rate at which students make progress varies from individual to individual, and is influenced by many contributory factors. We strive to provide the best possible service and will do everything we can to help students improve. However, we can offer no guarantee of academic success.

We are not liable for any direct, incidental, consequential, indirect, special, punitive or similar damages arising out of use of this tutoring service, or any errors or omissions in the content of our materials. You the client specifically waive any and all claims arising out of the use of our tutoring service.

THE TUTORS’ ASSOCIATION

Code of ethics for tutors

  1. I/we understand that my role as a tutor is to encourage and enable pupils to achieve their unique potential as independent learners through acknowledgement, encouragement, understanding, and personalised attention.
  2. I will be careful to avoid creating any unhealthy dependencies by suggesting a need for tutoring where no such need exists; reporting in a manner that explicitly or implicitly suggests a need for further on-going tutoring or engaging in any practice that undermines the independent learning of pupils.
  3. I will not engage in any form of plagiarism, such as completing pupils’ homework assignments for them.
  4. I will demonstrate faith in my pupils’ learning ability and provide honest, positive and constructive feedback.
  5. I understand the need to be flexible in my approach to tutoring to assist my pupils in discovering effective learning strategies.
  6. I undertake to keep up-to-date with advances in subject knowledge and pedagogy.
  7. I undertake to comply with the Association’s Child Protection Policy.
  8. I am committed to identifying any particular challenges or difficulties my pupils might have with their learning and to assisting them in overcoming those barriers.
  9. I will share with my client any concerns I have about pupils’ social, emotional and behavioural difficulties that are beyond my competency to address.
  10. I will identify to my client any special educational needs that are beyond my experience or ability to resolve, in order that they may secure for them the right kind of specialist help.
  11. Any referrals I make will come with full disclosure of any personal or material interest.
  12. I understand that my relationship to my pupils is professional and not personal and that I have a duty of care towards them.
  13. I will keep information about the pupil whom I am assigned confidential, unless doing so would be to result in injury or harm being done to them.
  14. I will show respect for my pupils’ cultural background, personal dignity and values.
  15. I will maintain accurate records of tutoring sessions as expected and required.
  16. In situations where I am working for a tutoring company, I will respect the terms and conditions of my contract, and in particular, will not seek to provide educational services to pupils I have been introduced to in this way independently of the company.

Additional Students

Only one student will take part in a tutorial unless you and ATS agree well in advance that other students can join in, up to no more than three in all. You and ATS must both be confident that extra students will not slow down each other’s progress, so you would start off with conversations and trial tutorials. You would also both be able to ask for the new student to leave the subject at 24 hours notice.

New students’ parents must agree to this Learning Agreement.

A new sessional charge will be agreed, premised upon more time being needed for preparation, assessment, and administration. However, the charge per student will usually be lower. For two students simultaneously £55 per session so £27.50 each, and for 3, £75 per session so £25 per head.

Child Protection

As professional tutors, we are duty bound to report any safeguarding concerns that may emerge during the subject of an online tutoring session directly and immediately to relevant authorities. These include the police, Social Services. All sessions are recorded via Zoom to safeguard all parties involved. All ATS tutors are fully DBS checked and required to keep safeguarding training fully up to date.
